How to Use the Employee Timecard Template

The employee timecard template comes in the form of a spreadsheet from Microsoft. After downloading and opening in Excel, save a blank copy of the employee timecard template on your desktop or in another area that is easily accessible.

You will begin filling in the employee timecard template by adding the employee’s name, their manager, email address and phone number to the top of the spreadsheet. The employee timecard template is broken up into four quarters. The quarters include:

• January, February, March
• April, May, June
• July, August, September
• October, November, December

The employee timecard template works by tabulating all of the hours worked by specific days of the week. For example, you will input the hours worked for Monday for the first week of the month. You will repeat this process throughout the week until the final weekly total is displayed in the “Total weekly hours” row at the bottom of each respective week. There is also a column for any overtime hours an employee may have worked. This information is separated from the regular hours worked.

Once all of the daily hours have been added to the employee timecard template, it will reveal an overview of all the hours a respective employee has worked during a week and month. The regular hours and overtime hours worked will also be automatically calculated to reveal year-to-date totals at the top of the spreadsheet.
